Welcoming New & Returning Vendors and Our VIP Sponsors to the Festival on the Fourth 2023!

Below you will find important information for all vendors, food trucks and sponsors.

Our prices did not increase as to allow a peddler’s permit as explained below.

 

Date and LocationJuly 4, 2023, Centennial Park Palmer Lake located on the west side of Centennial Park just south of the Pedestrian Bridge. See general site map.

Hours of Operation Including Set Up and Teardown:  12:30 pm- 11:59 pm

ALL VENDOR SPACE & PRICE 

The Palmer Lake Festival on the Fourth will rent space for the following – 

All food trucks ($300), 

10×10 vendor space ($98), 

10×20 vendor space ($150) and 

VIP Sponsor’s 10×10 ($0) space to advertise your business. 

 

Vendors are responsible for providing all tables, chairs, canopies, signage, QUIET generators, etc.  No power or water will be provided. All parts of your display must stay within the vendor’s rented space. You will be asked to move your display if you are set up outside the boundary of your assigned space. Tables must be covered with a full-length cloth to drape drown toward the ground to cover stored items below your table. All boxes, storage containers, etc. must be stowed out of sight. Only one vendor per space, NO subletting or sharing of space allowed. This event will be held rain or shine. No animals permitted on the grounds – SERVICE DOG ONLY, must be on a leash and waste bagged, cleaned up immediately. In general, we will do our best to not place you across or next to a vendor like your same product as to allow all a successful event. Any SPECIAL NEEDS OR REQUESTS must clearly be stated on the vendor application. This will assist us with the details, placement, and design of the vendor site map. The site map will be emailed the week prior to assist you in locating your rented space. No changes will be made to this site map unless there has been a recent emergency request and approved by the Vendor Coordinator. There will be an INFORMATION BOOTH on site. If you have any questions or need assistance, please contact us at this booth. As a vendor you grant the Festival on the Fourth to use photographs, videos, and any other record of the event for any legitimate purpose. You agree to abide by the rules and regulations by signing your name and dating the Vendor Application.

10 x 10 or 10 x 20 VENDOR SET-UP

Tuesday, July 4th set-up starts at 12:30 pm to 1:15 pm. Vendors must show up during your designated time. Everyone must be in place by 3:00 pm. Please drop off your merchandise and promptly move your vehicle to the designated vendor parking lot. This is an OUTDOOR event prepare accordingly for high winds and rain. Stakes and sandbags are highly recommended. Stakes alone are not strong enough for high winds. All vendors are responsible for maintaining a clean and safe space.  

 

FOOD TRUCKS

Tuesday, July 4th line up no later than 2:00 pm. Drive north on Hwy 105 into Palmer Lake. Turn right into the first small parking lot south of the baseball field. Drive under the pedestrian bridge heading north until you see a staff member with a radio. Park on the far-right shoulder allowing room for other vehicles to drive past your food truck. Once all Food Trucks have arrived you will be directed to convoy down to the designed parking space assigned to you. It is VERY IMPORTANT TO NOT BE LATE because you will hold up this convoy process allowing all food truck to convoy together and get in place. It is your responsibility to run your generators as needed to keep your foods cold. All vendors are responsible for maintaining a clean and safe space. This is an OUTDOOR event prepare accordingly for high winds and rain. Quiet generators are highly recommended and must not be annoying to other vendors in your area. Everyone must be in place by 3:00 pm.

TEAR DOWN AND CLEAN UP

NO EARLY BREAK DOWN WILL BE ALLOWED. Vendors will be allowed to break down at 8 pm for an early departure before the fireworks OR wait until the fireworks have ended. If you have not left the property by 9 pm you HAVE to wait until the fireworks are completed. Bring your head lamps to use after dusk. Vendors are responsible for tearing down, cleaning up, and removing all trash from your vendor site. Please turn off your vehicle headlights when loading up during the fireworks show. Food Trucks are required to dim down or turn off any lights during the fireworks show. This will allow our spectators to enjoy the show. Centennial Park will close at 10:00 pm on Tuesday July 4th.  Be packed up and off the property by 11:59 pm.

 

CANCELLATION AND REFUND POLICY

Festival on the Fourth will be held rain or shine. Vendor space refunds are possible prior to June 1ST providing we have another vendor to replace your reserved spot. There are NO refunds after June 1ST. This includes no shows or low sales. All vendors will receive a refund if this event is cancelled by the Fire Marshal due to extreme dry weather.
 

VENDOR PARKING

Vendors are required to unload merchandise and promptly move your vehicle to the designated vendor parking area. Finalized vendor parking lot location will be sent prior to the event.

 

GREASE AND GRAY WATER

No grease or gray water will be poured onto the ground or anywhere on Town property. Any vendor found doing this may be subject to a ticket from PD, be asked to leave TOPL and money will be forfeited. Vendor will be responsible for all environmental cleanup costs and will be billed accordingly.

TRASH

Vendors are responsible for the removal of their own trash/garbage and clean up their vendor site.  

       

      SECURITY

There will be security on site, 

but vendors are responsible for all merchandise and booth equipment, during and after the event. It is recommended

 that all valuables are always secured. Festival on the Fourth/Awake Palmer Lake and the Town of Palmer Lake will not be held liable for any theft or damage to vendor’s goods or property. Festival on the Fourth/Awake Palmer Lake reserves the right to remove any vendor, representative, and/or merchandise in which the Palmer Lake Festival on the Fourth Committee deems unacceptable, offensive or detracts from the dignity of the Town and/or event if it varies from the description listed on the vendor application. Vendors removed from this event will not be eligible for any refunds and maybe remove from any future Festival on the 4th events.

 

         SAFETY

All vendors and food trucks operating cooking equipment are required to have the appropriate fire extinguisher per Town of Palmer Lake’s Fire Department (FD). The FD reserves the right to inspect your vendor site or food truck when cooking equipment is being operated the day of the event. Any questions or concerns email the FD at info@palmer-lake.org and you will be contacted by TOPL FD within 24 hours.

 

SALES TAX

Vendors are responsible for collecting and paying the appropriate City and State sales tax for products sold.

 

STATE AND CITY REGULATIONS

Approved applicants are solely responsible for maintaining their compliance with relevant state, local, and federal health regulations, codes, licenses, insurance, and taxes.

 

Vendor Application & REQUIREMENTS

 

PEDDLER/SOLICITOR PERMIT  

The Town of Palmer Lake requires all vendors selling food or merchandise to have a one-day Peddler/Solicitor permit to operate on July 4th. This form is fillable and submit to the Town office. The Town is not hosting this event and will ONLY be available to answer questions pertaining to the Peddler

Solicitor Permit.

1)      Go to www.townofpalmerlake.com > FORM > BUSINESS > PEDDLER/SOLICITOR PERMIT

2)      Download completed form, print and sign

3)      Payment ($25) can be made on the Town’s website. Go to www.townofpalmerlake.com > MAKE A PAYMENT > Click on Credit Card Icon > BUSINESS.

4)      Email your completed Peddler’s application and proof of payment receipt to the Town of Palmer Lake at info@palmer-lake.org and your peddler’s permit will be emailed to you.

VENDOR APPLICATION REQUIREMENTS

1)      CERTIFICATE OF LIABILITY INSURANCE

2)      EL PASO COUNTY PUBLIC HEALTH FOOD INSPECTION REPORT (FOOD VENDORS)

3)      COPY OF PAYMENT RECEIPT FOR PEDDLER/SOLICITER PERMIT APPLICATION

4)      COPY OF DRIVER’S LICENSE

5)      UPLOAD ITEMS 1-4 BELOW 

ALL Vendors must have their own general liability insurance. The policy must be for a minimum of $1,000,000 coverage. Certificates of Insurance must include name of your business or owner/operator name.

PAYMENT OPTIONS TO COMPLETE AND SECURE YOUR VENDOR SITE

1)     PayPal. Vendor must pay the PayPal fees for this option,

2)     Drop off Application with a Check (No Out Of State Checks!) or Money Order made out to Awake The Lake at the Town office, 42 Valley Crescent, Palmer Lake, CO 80133. The Town office is only a drop off site and will not be able to answer any questions pertaining to this event.

3)     Mail application and payment (NO CASH) to Awake the Lake, PO Box 702, Palmer Lake, CO 80133.
